PROJECT GRADUATION 2009 MINUTES

Project Graduation Meeting Minutes - October 6, 2008

Meeting called to order at 7:05 pm in the lecture hall of the SP 10-12 Campus

In Attendance:
Donna, Tim, and Violet Fuller, Sue Kalla, Jessica Hucks, Cindy and Candace Luther, Howard and Pat Chase, Julie, James, and Travis Lewin, Lynette Caswell, Lorraine and Angelica Gonzalez, Gina and Kelli Loenzo, Debbie Pirmen, Jan Parham, Adalia Young, Zeus Garza, Michelle Moore, Morgan Goodwin, and Krystina Barron.

Minutes for September 2nd meeting  - approved.

Treasurer Report - Lynnette Caswell

Currently trying to get non-profit tax exempt form, which has been applied for but not yet received.  PG does have a letter that we can use in the mean time.  New rule to be aware of:  2 people are required to count money and neither can be a check signer.

Auction - Howard Chase
Donor list is available on the PG web site and updated list is also sent each Friday..  Everyone should make an effort to get donations.  Howard will be speaking at a Senior assembly on Oct. 15th to talk about the auction, student volunteer rewards, and scholarship information. Travis will also address the assembly.  Still finalizing details for accepting credit cards at the auction.  There will be a special PG meeting on Oct. 15th, at 7pm in the 10-12 lecture hall, to gather names of prominant RR residents and address invitations to the auction.  The next auction meeting will be Oct. 21st and the final planning meeting will be Tue. November 4th, both at 6:30pm at Howard's, 2807 Arron Ross Cove, call 215-9311, for directions.  Therre will be a final  meeting on Nov. 17, after the auction to finalize income and expenses.  This will be one of PG's tax free events. 

Old Business:
Extra Raffle Tickets for Seniors  -
Seniors can earn extra raffle tickets for prizes the night of PG by volunteering at PG meetings and events.  They will earn one ticket for showing up, a second ticket for participating in a meeting or working (subject to the interpretation of the event Chair) at least one to 4 hours at an event.  A third ticket may be earned after 4 hours with a max. of 3 tickets per event.  If multiple tickets are drawn for the same senior, that senior must forfeit a prize to claim a second, therefore only going home with one prize.  Those forfeited prizes will go back into the prize pool.  Motion made, voted on, and carried.

Raffle Tickets for Underclassmen -
To encourage underclassmen students, and parents, to get involved in PG,  an incentive to volunteer has been developed.  Underclassmen can also earn raffle tickets, but only one ticket for participating in each PG meeting or event.  Prizes will be awarded one per grade level, freshman, sophomore, and junior and donated by Howard Chase.  Motion made, voted on, and carried.

PG Scholarships -
As another incentive to get students involved with and help support PG, scholarship money has been donated by Century Charities.  If a student meets the requirements their name will go into a drawing for one of 4 $500 scholarships.  The requirements are to volunteer 10 hours at PG meetings or events and invite 5 adults who must check into and attend the auction on Saturday, Nov. 8th.  OR  volunteer 20 hours at PG meetings or events.  Recipients must be enrolled in post secondary education to claim their scholarship.  To get credit for auction guests ask them to bring an invitation with your name on it or ask them to mention your name upon check in.  Invitations can be downloaded from the PG web site. 

Prize Committee -  Chairperson needed soon to start requesting prizes and price shopping prizes for PG night.  Would like a student to work with an adult on this to get their input on prizes.

Food Committee -  Chairperson needed soon in order to start requesting food donations in January.

New Business:
Homecoming Parade -
If the Homecoming parade happens PG members will walk in the parade wearing graduation caps and gowns.  We will also hand out treats to kids and PG and Auction info to adults.

Election Day -  Donna Fuller
Trying to get permission from the administration to man a table outside of school on election day to hand out PG and Auction info and sell sodas.

Action Flyers -

We are getting more flyers printed.  We need someone - football boosters? - to put auction flyers on cars at our FB games, Oct. 24th (Dragon Stadium), Oct. 31 (Bible Stadium), and Nov. 7 (Dragon Stadium).

T-shirt Idea -
A senior T-shirt idea has been proposed and permission to sell it will be sought.

Next Meeting:
There will be a special PG meeting on Oct. 15th, at 7pm in the 10-12 lecture hall, to gather names of prominent RR residents to send auction invitations. (An Oct. 29th meeting may be added to finish with invitations.)  Everyone, not just auction committee, is asked to help  The next regular meeting will be held at 7pm, Nov.3rd  in the lecture hall of the main campus.

August 12th PG Auction Meeting Notes

The auction will be held October 18th afternoon and evening.
Howard has broken up duties for the auction into the following committees:

SET UP - Everyone! is needed to help with this, students and parents.  We have some football players promised.  We may not be able to get into the cafe until 1pm due to Saturday school which meets there, so the more people we have the better.

FOOD - Rosie - budget it $300 - party trays and finger food and beverages.  Starbucks is donating 400 cups of coffee.  8-10 student or parent volunteers needed auction night.

CLEAN UP - Everyone!

CHECK OUT - Curtis Bulgern for check and cash lane and another adult volunteer needed for credit cards.  Donna is taking care of getting the credit card machine and account.  6-10 student or parent volunteers to help gather purchased items.

SIGN IN - Ann Kreager, Cindy Luther, and Sue Kalla - to check people in and hand out number paddles.

SCHOOL LIAISON - Donna Fuller

POSTERS - Donna - will print copy of flyer.  Also need student or parent volunteers to make a large banner asking our customers to please support all our sponsors listed below.

SCHOOL ASSEMBLY - Howard -  will be talking with Mr. Hernandez about the possibility of his pitching the auction to the seniors.

RESTAURANT DONATIONS - Ann Kreager - Everyone can help with this.  Please check the list of donations Howard has been compiling each week so we don't re-ask a business who has already been asked.

CERTIFICATES - Pat Chase - can print a coupon for a business if it doesn't have one already.  Please contact her no later than a week before the auction with business contact person, phone number, and exp date of offer.  Also, get a signed business card from your contact.

PROGRAM - Pat - list of donation items in order, trips listed separately.

DONATIONS - Everyone, again check Howard's weekly lists and let him know when and what you get donated.

NUMBERING AND DELIVERY TO SCHOOL - Howard - Sue Kalla and Cindy Luther.  1-2 more people with large trucks or suv's.  We will meet at Howard's house at 11am the day of the auction.

STAFF INVITATIONS - Howard - to talk to Mr. H

SPONSOR LIST/BANNER - Pat - will make a list to attach to the program.  See banner under set up.

THANK YOU CARD AND LETTERS -  We will get together after the event to take care of this.  It would be best to have as  many senior volunteers as possible, to write these form their perspective.  Date tba

BTW we did not set a date for the next general PG meeting at the last meeting.  I'll let you all know when I find out a date.
